Context
The XC Purchasing Manager provides assistance and advice on the 5 areas of the XC Business Unit:
- Production (Welding Shop and external partners): in-house or outsourced manufacturing, welding, treatments, and painting.
- Preparation (XC Workshop): pre-assemblies and parts adaptations.
- Assembly (XC Workshop): the assembly of new XC vehicles.
- Workshop (XC Workshop): the preparation, overhaul, repair, and setup of XC vehicles owned by the company or on behalf of clients.
- Racing (XC Race Team): presence at meetings to provide advice, assistance, and spare parts to clients competing on the European scene.
They report to the Head of XC, who also serves as the Race Program Manager, to ensure Lifelive's presence at competitions or events.
Areas of Responsibility
Focus Area 1 / “XC Manufacturer” Activity
Procurement
- Anticipate the placing of orders or manufacturing orders based on the min./max. thresholds defined in Odoo (ERP).
- Place orders with suppliers, negotiating the right price, an adequate lead time, and acceptable payment terms.
- Monitor expected deliveries by following up with suppliers.
- Anticipate supply chain disruptions by resorting to alternative suppliers.
- Find solutions to critical situations such as delivery delays, unavailability, or non-conformity of certain parts.
- Manage the relationship with suppliers and subcontractors.
- Manage emails on generic mailboxes.
- Coordinate relevant points during the weekly team meeting.
Management / XC Shop Manager
- Manage the daily work of the “XC Shop Manager” to ensure that:
- Priorities are clearly defined.
- Received supplier orders are properly accepted and entered into stock (both physically and in Odoo).
- Validated customer orders are properly prepared and shipped on time and at the right cost.
- Preparations for Cross Car kits to be delivered are planned, and shipping is scheduled within the specified timeframe.
XC Webshop
- Ensure the customer experience is optimal—from product selection to payment and order receipt.
- In collaboration with the “XC Marketing Manager,” implement appropriate marketing actions to boost online sales.
- Coordinate relevant points during the weekly team meeting.
Planning
- Provide assistance to the “Head of XC” and the “XC Production & Workshop Manager” in establishing and monitoring the production and workshop schedule.
- Anticipate potential delays and take the necessary measures.
- Coordinate relevant points during the weekly team meeting.
Odoo (ERP)
- Verification and update of product sheets and bills of materials (BOMs).
- Verification and update of internal references (PIF, OnShape, Internet)
- Adaptation of purchase prices and sales prices
- Verification and update of supplier references and supply channels
- Creation of new products
- Management of product presentation on the webshop
- Monitoring of purchase orders and deliveries
- Monitoring of inventory stock levels (in Odoo as well as physical stock) and definition of alert thresholds (min/max stock)
- Stock management (central and remote)
- Monitoring of supplier invoices and their payments
- At the request of the Office, Finance & HR Manager, assist with the analytical encoding of supplier and customer invoices and the matching of payments (especially pro forma invoices).
Focus Area 2 / “XC Workshop” Activity
- In collaboration with the “XC Production & Workshop Manager,” provide assistance to the “Head of XC” to ensure monitoring of compliance with provisional hourly allowances for parts preparation, XC assembly, or XC overhaul/setup.
- In collaboration with the “XC Production & Workshop Manager,” provide assistance to the “Head of XC” for the invoicing of clients for any operation carried out by the XC Workshop.
Focus Area 3 / “XC Race Team” Activity
- Provide assistance to the Race Program Manager when the “XC Race Team” is present at races or events to manage part sales and on-site payments.
- In collaboration with the “XC Production & Workshop Manager,” provide assistance to the “Head of XC” for the invoicing of clients for any operation carried out by the XC Race Team.
- Provide assistance to the Race Program Manager in the context of the mission to sell and distribute tyres during races, to manage tyre sales (before the races) and their prepayment.

Must Have
- Perfect command of French and English
- Proficiency with IT tools (Odoo, Google Workspace)

- Valid work permit for Belgium (on site)
Nice to have
- Knowledge of German is a plus
- Specific knowledge of the Cross Car discipline is an asset
- Experience in e-commerce would be appreciable
